About Byte Back

For nearly 25 years, Byte Back has been providing a pathway of inclusive and relevant tech training that leads to meaningful careers in the tech industry. As a leader in both digital inclusion and digital equity, we serve and train more than 1000 adults every year to help close the digital divide. Byte Back's Scholars are predominantly people of color, women, and unemployed or underemployed adults. 90% of Byte Back program participants do not have a college degree.

By the year 2025, nearly 85,000,000 jobs will be lost to automation, artificial intelligence, robotics, and machine learning. Most of those jobs are held by marginalized, underrepresented, and minority communities. Our mission is to close the digital divide by providing under-resourced communities an equitable pathway into the digital economy. We achieve this through transformative digital advocacy, digital literacy, and tech certification training. We exist to reskill these individuals to help them be marketable for 21st century jobs. About the Opportunity

Byte Back is looking for a highly motivated self-directed and organized superstar to join our growing Program's team. The Grant Compliance Coordinator will be involved with all aspects of the grant programs for Byte Back. You will prepare written and oral reports and proposals with the opportunity to present recommendations to diverse audiences. In addition, this opportunity gives you the chance to perform a broad spectrum of technical and administrative duties in support of Programs. Lastly, you will evaluate grant-related policies and program designs, implementations, and fiscal impacts relating to project areas and provide recommendations to the Head of Programs and senior leadership team.

The Grant Compliance Coordinator must have strong writing, analytical and personal skills. In addition, this individual should have strong organizational skills, be proactive, detailed-oriented, able to work independently and collaborate with others. An exciting part of this opportunity is that you will be expected to represent Byte Back and interface with all levels of staff, faculty, volunteers, donors, board members, and program participants while maintaining tact, diplomacy and confidentiality.

This opportunity reports directly to the Head of Development, Advancement, & Corporate Relations and offers the opportunity to be primarily home-based with the ability to travel to our DC office with a hybrid work schedule.

About Your Responsibilities

Your responsibilities will include, but are not limited to the following:

Strategic Leadership and Thought Partnership
  • Prepares a wide variety of correspondence, documents, and reports, to include policy and program development to support strategic planning goals. Makes effective use of presentation and spreadsheet software to prepare material for senior leadership, key stakeholders
  • Reviews and evaluates grant funding opportunities that have the potential to further organizational goals and objectives
  • Ensures compliance with all requirements of grant programs
  • Conducts appropriate research, prepares, and submits grant applications and timely reports
  • Maintains an updated listing of grant opportunities and disseminates to Head of Development and Head of Programs
  • Coordinates all fiscal and administrative functions associated with the acceptance, maintenance, auditing and reporting of grant activities, both internally and externally
  • Attends meetings with funders, and key personnel, including federal, state and/or local leaders as required in support of furtherance of grant applications and assigned projects
  • Coordinates related Memorandum of Understanding (MOU's) and/or Memorandum of Agreement (MOA's) to ensure necessary procedures, goals, and objectives are addressed appropriately and facilitates legal review
  • Provides staff assistance to the senior leadership by constructing sensitive documents and correspondence, producing special comprehensive and detailed research reports, and serving as a liaison on internal and external issues and coordinating projects which may cross departmental lines
  • Reviews and works with the Director of Finance to approve grant funded expenditures for compliance
  • Monitors time and effort documentation for all grants and may supervise assigned support staff personnel
  • Assists in identifying and developing grant management best practices and creating documentation and training materials to standardize those practices through training and continuous advice and support
  • Documents instances of compliant and non-compliant grant program manager activities pursuant to the grant accountability system
  • Prepares documentation for the Director of Finance and Head of Programs for recognition of excellence and, alternatively, the need for corrective action
  • Runs reports as requested from the data collected
  • Maintains an organized audit-ready filing system and supports the compliance team with other special projects
  • Manage the correspondence and maintain the files for individual donors, foundations, corporate partners, and other donors
  • Manage the donor database. Run and prepare statistical reports and export mailing lists.
  • Research prospective donors and grant opportunities while maintaining a grant tracking schedule, foundation activity logs and grant files
  • Conduct a monthly reconciliation of submitted proposals, grants awarded, and disbursed gifts and assist the Head of Development and Director of Finance in developing annual funding targets based on budget goals

About Your KSA's

  • Bachelor's degree or equivalent combination of experience with a minimum of 3-5 years of managing grants and compliance
  • Excellent verbal and written communication skills as well as organizational and project management skills with extreme attention to detail required
  • Exceptional writing and editing skills with ability to interpret complex state, federal and private grant funding requirements
  • Outstanding organizational skills and strong ability to prioritize, meet deadlines and manage multiple projects
  • Aptitude for public speaking, external engagement, and relationship management
  • Knowledge of fundraising databases like Salesforce
  • Manage a comprehensive grants calendar of foundation and corporate relationships, including prospecting, proposal development, and reporting, assigning grants/reports, and tracking and informing department and programs of deadlines
  • Lead prospecting efforts for Byte Back's corporate and foundation portfolio, establishing a robust pipeline of partners who can support our Scholars and Alumni
